This Privacy Policy outlines how we use, store and share the personal information we hold about you when you contact Transport Scotland, the Scottish Government or Scottish Ministers regarding rail services in Scotland.

This privacy notice applies when you send:
- Any e-mails or letters to a team or an individual at Transport Scotland relating to rail services in Scotland;
- Any e-mails or letters to the Cabinet Secretary for Transport in her Ministerial or constituency capacity, relating to rail services in Scotland;
- Any e-mails or letters to the central enquiry unit at the Scottish Government at: contactus@gov.scot, or to any other team or an individual at the Scottish Government, relating to rail services in Scotland;
- Any e-mails or letters to Scottish Ministers at: scottish.ministers@gov.scot, or to any one Minister within the Scottish Government, relating to rail services in Scotland.
The personal information may include:

- journey details including the date, time and location;
- and any other personal information which you provide in your correspondence.
Why do we hold it?
We collect this information in order to investigate issues raised in your correspondence, answer any questions you may have and to seek information from third parties to ensure we respond to your query accurately.

Who we may share your information with?
We share your personal information with the third parties listed below. We require all third parties to respect the security of your personal information and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal information for their own purposes and only permit them to process your personal information for specified purposes and in accordance with our instructions.
We share our information with our rail delivery partners namely:
- ScotRail Trains Ltd.(SRT) – train operating company in Scotland
- Caledonian Sleeper Ltd. (CSL)– train operating company in Scotland offering services to London
- Scottish Rail Holdings Ltd. – an executive non-departmental public body of the Scottish Government who oversees and manages the delivery of SRT and CSL services, on behalf of Scottish Ministers.
- Network Rail Limited - a non-departmental public body of the Department for Transport, who owns and manages infrastructure of most of the rail network in Great Britain.
We may also ask the above listed partners to respond to your correspondence directly, if it is deemed more appropriate.
